Ultimate i-track is a system which was built bespoke
for both Letultimate.com and Sellultimate.com. This system offers many great
features, benefits and functionality as the whole concept to design the system
was taken from what our customers would like to complete on line, the
information that they would like to view. In addition to this a large amount of
the creation of itrack derived from the business owners by drawing on their own
experiences and implementing what information they would like to access on
line.
You will not find another system the same as itrack on
the Estate and Letting Agency market as this is unique to our business and has

Letultimate.com has listed some of the key features and benefits that itrack
can offer you:
- If you have more than one
property registered with either Letultimate.com or Sellultimate.com then
you only need one log in which consists of a username and password. If you
have more than one property registered with us then multiple properties
will be available for you to view on the ONE ACCOUNT. When accessing
itrack it will list the relevant properties that you have registered with
us. You can then select the relevant property that you wish to view the
data on.
- First and foremost itrack
provides you with Landlords on Line Digital Banking. Under the statement
section of itrack you can review a financial statement of all rents
received, payments made to you, any charges applied to your account and
your operating account balance. You can choose to view this statement in
various formats by using the filter option available to view certain and
specific charges.
- Under the produce invoice /
statement section you have the option to create an official invoice or
statement based on the financial data that is available on your on line statement.
When you select this option an official document will be produced which
will detail all charges on your account in a PDF formatted invoice or
statement. This document can then be used for Tax or Accountancy purposes
when completing your tax return relating to your property or property
portfolio.
- Under the reconcile account
section you can click a button which will fully reconcile your on line
account with all of the charges that have been applied. This will provide
you with a summary and reconciliation balance. This function will detail
when your tenancy started which in turn would calculate the expected
rental that should of, been received on your account. Then the system will
list any charges that have been applied to your account such as management
charges, admin fees, maintenance charges and or any other category that is
a charge. Then the system will calculate the amount of payments that have
been made to you. When the calculations are complete you will then be
provided with a reconciliation balance. The reconciliation balance will
identify if your account is at a zero balance which confirms that there
are no payments outstanding to you or it will display a balance due. If a
balance is quoted then this could be down to the fact that we have not received
your tenant current rental payment at the time the reconciliation function
was utilised. If this is the case then the reconciliation balance might
equal the equivalent of your current rental rate.
- Under the Property Details
Section you can view your property account number, Letting property
address, rental rate, tenants payment date, tenancy start date,
confirmation of your management fee if applicable, gas safety expiry date,
metre readings taken when your tenant moved in.
- Under the Property Resources
section you can view a hard copy of your tenancy agreement that is in
place, view your gas safety certificate, view your EPC, or view any hard
copy documents that may be uploaded to your account.
- Under the digital banking
payments section you can view details of the bank account that we will
transfer your rental payments to and the bank provider name.
- Under the Loyalty Card Section
you can view details of your loyalty card membership including details of
the date the card was issued and the current expiry date.
- Under the, your messages
received section you can view any messages which are sent to you by either
Letultimate.com or Sellultimate.com. Any messages submitted are stored on
your account so you can refer back to them at any time.
- Under the send a message
section you are able to submit a message to Letultimate.com or
Sellultimate.com. Again this data will be stored on your on line account
so you can refer back to them at any time.
- Under the quotations section
you are able to view quotations that we have provided to you with the
option to accept or reject a quotation that is offered. If you accept a
quotation and this will be displayed as accepted and you will receive an
email confirming the quotation details of what you have agreed to.
- Under the feedback section you
are able to view feedback received on any viewings that you have had.
Feedback is normally obtained the working day after the viewing has taken
place so you do not have to chase for feedback as it will be provided to
you on line and in detail.
- Under the bulletin section you
can view any important bulletin information that Letultimate.com or
Sellultimate.com wish to communicate to their customer’s such as important
changes, information or current promotional offers.
- Under the general and payment
date information you can view the full process regarding payments made to
our customer’s and timescales involved.
- Under the Your Management
Contract, if applicable to the service you are using you can view your
current management contract that is in place for the service that you are
using.
