Letultimate.com have listed some important information for our tenants to review on line ranging from your tenant rent account, how to report property maintenance and much more.
Late Payment of your Rent Account
If
you are aware that you are not able to make the rent payment due on your
account for the due date then it is in your interest to contact Letultimate.com
without delay. If we are made aware of the situation or reason on or before the
due date then we can look to resolve this with you and put an agreed payment
arrangement in place which will be noted on your account with us.
Letultimate.com is then able to advise the landlord regarding the situation.
If
you fail to contact Letultimate.com regarding late payment of your account then
you may be subject to incurring a Late Payment Charge on your account. A late
payment charge will be applied to your account if you have not made us aware
that your payment is going to be late. The standard Late Payment Charge is
currently £12.00. This charge may increase in we are unable to make contact
with you which then leads to Letultimate.com having to visit your property in
person. If you do contact us to make us aware that your property is going to be
late then no late payment charges will be incurred.
Making an Arrangement to Pay for Late Payment of your Rent Account
If
you have informed Letultimate.com that your rent account payment is going to be
late and you make an ARRANGEMENT TO PAY then this arrangement will be noted on
your account. It is important that you maintain the arrangement that you have
made. If your break your payment arrangement then you would incur a charge for
breaking your arrangement to pay currently set at £12.00. Once you arrangement
has been broken then you will need to set up a new arrangement to pay with
Letultimate.com.
Interest on any overdue Rent Account Balance or Account Balance in General
Letultimate.com,
reserve the right to charge interest on any overdue rent account balance(s).
The interest is currently calculated at a rate of 4% over the current Bank of
England base rate. Interest will be charged on any overdue balance(s) or
arrear(s) until fully repaid and brought up to date.
If
you need to report a repair to your rental property, then there are various
ways in which you can do this, dependent upon the repair category. If your
repair is of a non urgent nature then you can report the repair on line by
clicking on the “Contact Us” button and selecting the option “I would like to
report a repair to my property”. This option is displayed on the Contact Us
form under the menu heading “On Line Tenants Service Area”.
Alternatively
you can contact our office on 01642 796661 to report the repair. When you
report the repair to our office we will raise a job on the system and you will
be provided with a job reference number. Once we have raised the job on our
system we will then pass this out to an approved contractor. The contractor
will then contact you direct in order to arrange a date and time to attend your
property to assess the required repair and submit a quotation to our office.
Then, once the quotation is approved the required works will be booked in for
completion. Once the job has been completed the job will be closed on our
system.
Reporting an Emergency Repair
If
you have an emergency repair to report then, please contact the office on 01642
796661 to report the emergency. Emergency is normally deemed as anything that
involves faults with Electrics, Gas, Water or any item that can cause a
potential risk or danger. It is VITAL that you report the fault without delay
so the risk presented is minimised to all concerned.
If
your emergency occurs outside of our normal working hours then please contact
the emergency out of hours number that would of been provided to you prior to
you moving into the property. The emergency out of hour’s contact numbers are

Once we have received details of the
emergency we will assess the situation and allocate the fault to a contractor
who will attend your property with a view of making any issues safe. Sometimes,
in emergencies we may be required to attend your property or more than one
occasion.
Routine Maintenance Required by Law
Letultimate.com
has obligations to fulfill on rental properties which are a mandatory
requirement by law. This relates to completing annual checks such as Landlords
Gas Safety Certificates, Electrical certificates where applicable and or any
mandatory requirement which is law. When we are required to complete such
maintenance we will contact you in the first instance in order to arrange an
appointment to complete the required works.
It
is therefore important that you offer your co-operation with arranging such
scheduled works. If we are unable to make contact with you to arrange these
works then Letultimate.com reserve the right to access your property in order
to get the required works completed. If we can not contact you by the telephone
numbers that we hold on file then we will write to you requesting that you
contact our office. If you do not respond to any written communications then we
will further write to you to advise that we will gain access to complete the
required works without you being in attendance at the property. Therefore, in
order to avoid any complications it would be beneficial for you to respond to
any communications that we may send to you.
Looking After Your Rental Property during your tenancy
You must look after and respect the
property that you are renting during the course of your agreed tenancy. In
addition to Letulitmate.com having responsibilities to you the same is also
required in return. Therefore, it is important that you look after the property
that you are renting as if it were your own property.
Providing the required One Months Notice to Letultimate.com
If
you wish to vacate your property then you must provide Letultimate.com with one
calendar months notice. Please be advised that if you are within your 6 month
tenancy period then you will not be able to provide notice until the start of
the fifth month. If your original tenancy term has expired then you can provide
Letultimate.com with one calendar months notice at any point. We can only
accept your notice in writing. You can either, email, fax or post your notice
to us. If you would like to email your notice to us then please do so by
emailing: enquiries@ultimatehomesandfinance.co.uk.
We
will acknowledge receipt of your notice when we receive it and confirm a move
out date and time with you. If you are on your notice period that it is
important that you are flexible and allow us to remarket the property and
conduct viewings which will be kept to a minimum to avoid any unnecessary
disruption to you. Letultimate.com have the right to conduct viewings when any
tenancy is on a notice period.
Returning your property to Letultimate.com
When
a tenancy is granted it is the tenant(s) responsibility to look after and
maintain the property. If the property is let to a tenant(s) in good condition
then it must be returned the same. If a new build property is let to a
tenant(s) and the tenant(s) wishes to vacate the property by providing the
required 1 months notice period then the property must be handed over to
Letultimate.com in the condition that it was let in. Any walls must be
repainted if they are marked in any way.
Any flooring must be cleaned if it is visible that any areas are dirty, stained
or scratched (applies to wood flooring). If any properties have front, back or
side gardens then these must be cut and made presentable prior to vacating the
property. You must clear the contents of any items that you have in the
property inclusive of the garage area.
Finally the property must be handed over in clean condition inclusive of inside
any cupboards, units. The bathrooms and en-suites must also be cleaned and
handed over back in the condition that they were let in. When you move into a
property a full schedule of condition will be completed with you which must be
signed off. If any of the above works are not completed then Letultimate.com
reserve the right to instruct independent contractors to carry out any works
deemed necessary.
Returning Your Bond Payment
Please
be advised that Letultimate.com refund any bonds held on properties within 10
working days from the date you have vacated the property, providing that there
are no disputes raised. Therefore, it is important that you do not rely on
receiving a refund on the bond to put towards your new property as the bond is
not refunded on the same date you vacate the property.
It
is a requirement of Letultimate.com that you provide us with your forwarding
address prior to any bond payment being refunded to you.
Updating your Contact Details
It
is important that you update your contact details with Letultimate.com so we
are able to make contact with you, if required. Therefore, if you have changed
your contact details since your tenancy started that you must inform
Letultimate.com of your new details as soon as possible.
If
you wish to update your contact details then please contact our office on 01642
796661 or alternatively can you use the “Contact Us” form available on our
site. If using the contact us form on line then please select the option “I
would like update my contact details with Letultimate.com”. If updating your
contact details on line then please ensure that you quote your property
address, followed by the new data that you wish us to update.
If
you do not update your contact details with Letultimate.com can this can result
in delays occurring to arrange reported repairs etc.
