On
the day your tenant moves into the property they will sign the all important
and legally binding tenancy agreement which will witnessed at the time
signatures are obtained.

addition to this meter readings will be obtained at the property which the
tenant will also agree with what we have documented on the relevant form. This
data will also be uploaded onto your on line account so there is always a
record of this should a query arise in the future.
Your
tenant will be provided with a welcome letter from Letultimate.com. If your
property is under one of our property management services then your tenant will
be provided with our agencies contact details. If you have utilised the tenant
finder service then your own contact details will be provided with the tenant for
their point of contact should they need to speak to you at any point during the
tenancy term.
Your
tenant will also be provided with a standing order form to enable them to set
up their rent account payments with their nominated bank provider. If you have
utilised the tenant finder service then your own bank details will be quoted on
the standing order form.
As
we obtain the relevant meter readings for the mains services Letultimate.com
will inform the utility companies on your behalf that a new tenant has moved
into the property. We also clearly advise the tenant that it is also their
responsibility to ensure that all utility bills have been transferred into
their own name and they are actively paying the bills that they receive. This
service also includes informing the relevant council tax office that a new
tenant has moved into the property,
Once
a letting has completed and the tenant has moved in successfully
Letultimate.com will then send the completed file to our processing team so any
monies due can be paid out to the landlord. Payments are made to the nominated
bank account details that would of been provided to us by the landlord prior to
the letting completing.
If
you are under property management then the first payment will be the balance
due, once any administration fees and management charges have been deducted.
The balance and payment information can be viewed on your on line itrack account.
Then future payments will be made at the rental rate minus any management
charges and or any further charges that will be applied to your account for the
likes of property maintenance, if applicable.
If
you have utilised our tenant finder service only then the payment sent to you
would be the rental rate minus the administration charge for arranging the
letting. Then future payments will be made to you direct from your tenant by
standing order.
If
you are using property management services with Letulitmate.com then you on
line itrack account will be fully created and completed when the letting has
completed. When we have finalised your itrack account we will email you a
username and password so you can access this service and view your property
related transactions and any associated documents relevant to the letting,
itrack will provide you with a financial statement on line as this is updated
in real time moving forward for your property and financial transactions.
When
your tenant provides us with required notice should they wish to vacate we will
contact you in the first instance to advise on this. Letultimate.com recommend
that your property is re-advertised without delay so an alternative tenant can
be sourced without delay. In normal circumstances Letultimate.com would aim to
have a new tenant moving into the property as the current one is moving out so
there is no break in the payments that we make to you. In the majority of cases
this can be achieved providing that the property is marketed as soon as the
tenant has provided notice.
